How to collect month-end documents from bookkeeping clients

Most bookkeeping firms don't lose time on the bookkeeping. They lose it in the week before, waiting on statements, digging through email threads for a missing receipt, and sending the third "just checking in" message to the same client. The work can't start until the documents arrive, so the whole month slides.

The fix is less about working harder and more about turning collection into a process that runs the same way every month. Here is the approach that works for most small firms.

1. Decide exactly what each client owes you

Vague requests get vague responses. "Send over your stuff for September" leaves the client guessing, and guesses come back incomplete. Write down, per client, the specific items you need every month:

  • Statements for each bank account and credit card, named by account
  • Sales invoices issued, or an export from their invoicing tool
  • Bills and receipts for purchases, especially anything over a threshold you set
  • Payroll reports, if you don't run payroll for them
  • Short questions you ask every month, such as "Any new loans or equipment purchases?"

Most clients of the same type need the same list. Build a few standard checklists (for example, service business, retail, contractor) and adjust per client rather than starting from scratch each time.

2. Send the request on a fixed date

Pick a day, such as the 1st or 3rd of the month, and send every request then. Clients learn the rhythm, and you stop deciding each month when to ask. A fixed date also makes lateness obvious: if the request went out on the 1st and nothing is back by the 10th, you know without checking your inbox.

3. Give clients one place to send everything

Documents that arrive across email, text messages, shared drives, and the occasional USB stick are documents you have to hunt for. Give every client a single place to upload, ideally one they can open from their phone without creating an account. Every extra step (a login, a password reset, an app download) is a reason to put it off until tomorrow.

The same place should show them what is still missing. A client who can see "3 of 5 items done" knows what to do next; a client who has to reread your email to remember what you asked for often doesn't bother.

4. Follow up on a schedule, only for what's missing

Reminders work when they are predictable and specific. A common schedule is a first reminder a few days after the request, a second after about a week, and a firmer one around two weeks. Each reminder should list only the items still outstanding, so a client who sent four of five things isn't asked for all five again.

5. Review as items arrive, not all at once

If a statement is for the wrong month or a receipt is unreadable, tell the client straight away and say exactly what needs fixing. Asking for a correction on day 3 is a small favour; asking on day 25 is a crisis. Mark items as accepted once you've checked them so nobody sends them twice.

6. Keep everything filed by client and month

When a question comes up in April about a bill from January, you want to find it in seconds. File every document under the client and the month it belongs to, and keep the client's answers alongside the files. It also makes year-end and any review far less painful.

Putting it together

  1. Write a checklist per client type and adjust per client.
  2. Send requests on the same date every month.
  3. Give clients one link where they upload and see what's left.
  4. Remind automatically, for missing items only, on a set schedule.
  5. Review and request corrections as items come in.
  6. File by client and month.
