Why a checklist for each client

"Send me everything for September" leaves a client guessing, and you end up chasing the payout report or the second credit card a week later. A checklist written for their kind of business tells them exactly what to look for, and the same list every month turns it into a routine.

What changes by business

  • Online stores get paid through platforms, so payout and settlement reports matter as much as the bank statement.
  • Restaurants and shops need point-of-sale reports, cash deposits and a month-end stock count.
  • Contractors have materials, subcontractors and vehicles, and income that follows jobs rather than months.
  • Rental owners need rent received per property, manager statements and repair invoices.

Once you have the list, use our document request email templates to send it.

Questions

What documents does a bookkeeper need every month?
At a minimum: bank and credit card statements for every business account, receipts for larger expenses, bills from suppliers, and invoices sent to customers. Most businesses also have platform payouts, payroll reports or loan statements, depending on how they operate.
Which receipts should clients keep?
Many firms ask for receipts over a set amount, often $75, because smaller expenses can usually be categorised from the bank statement. Check the rules where the business files taxes, and adjust the line in your checklist to match.
When should a client send their monthly documents?
Most firms ask in the first few days of the month for the month just ended, with a due date about a week later. That leaves time to reconcile and close the books before the next month starts.
How do I get clients to actually send everything?
Give them the same short checklist every month, one item per line, with a due date, and remind them only about what's still missing. Clients learn the routine quickly when the list doesn't change.
Is this tool free? Do you keep what I choose?
